Overview
Atkins Search are currently working with a well-respected Mechanical & Electrical Design Consultancy in Nottingham to recruit a Personal Assistant to support the Director and wider business operations.
This is a flexible opportunity that can be offered on either a full-time basis or part-time with the scope to progress into a full-time role as the business continues to grow.
Client
Our client is an innovative and rapidly expanding M&E (Mechanical and Electrical) Design Consultancy located in Nottingham, who focus on providing high-quality, energy-efficient engineering solutions.
Their expertise spans a diverse range of sectors, including industrial, retail, historic and listed buildings, as well as high-end residential projects, from single-occupancy homes to multi-unit apartment developments.
Due to continued growth, they are now looking to appoint an organised and proactive Personal Assistant to provide administrative, financial and business support across the company.
Role
As a Personal Assistant, you will play a key role in ensuring the smooth day-to-day operation of the business. Supporting company Director, you will be responsible for diary management, coordinating meetings, handling financial administration and maintaining effective communication with clients and suppliers.
This is an excellent opportunity for an experienced administrator or PA with strong organisational skills and financial administration experience to join a growing consultancy and become an integral part of the team.
Responsibilities
- Manage and coordinate Director's diary, meetings, appointments and travel arrangements.
- Act as the first point of contact for clients, suppliers and other stakeholders.
- Raise invoices accurately and in a timely manner.
- Monitor outstanding payments and proactively chase overdue invoices.
- Support with financial administration and basic financial control duties.
- Maintain project records, company documentation and filing systems.
- Prepare correspondence, reports and meeting notes as required.
- Coordinate office activities and provide general business support across multiple departments.
- Assist with the organisation of company events, client meetings and business development activities.
- Ensure confidential and sensitive information is handled professionally at all times.
Person
- Previous experience in a Personal Assistant, Executive Assistant, Office Manager or Senior Administrative position.
- Strong organisational and time management skills with the ability to prioritise multiple tasks.
- Experience raising invoices and chasing payments.
- Financial administration or financial control experience is highly desirable.
- Excellent attention to detail and accuracy.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite, including Outlook, Word and Excel.
- Ability to work independently and use initiative.
- Professional, personable and highly trustworthy.
- Experience within construction, engineering or consultancy environments would be beneficial but is not essential.
