Role

As a Commercial Administrator in Nottingham, you'll provide key administrative support to the Commercial Systems Manager, Commercial Director and wider Commercial Team. You will play an important role in maintaining commercial records, managing documentation, coordinating subcontractor processes and supporting the smooth running of commercial operations.

Working closely with internal departments, supply chain partners and project teams, you'll help ensure that critical commercial information is accurately recorded, monitored and maintained.

Responsibilities

Your responsibilities as a Commercial Administrator will include:

Managing and maintaining commercial documentation, including contracts, bonds and parent company guarantees

Tracking the return and completion of collateral warranties and consultant appointments

Arranging the authorisation and issue of subcontractor orders

Monitoring subcontractor orders to ensure signed documentation is returned and recorded

Reviewing subcontractor payment information prior to authorisation

Collating invoices and applications from the supply chain for processing by the accounts team

Supporting the approval process for new supply chain partners, including health & safety and insurance compliance checks

Updating supplier information across internal systems, databases and compliance platforms

Producing monthly staff allocation reports for submission to HR

Assisting the Commercial Director and wider Commercial Team with administrative and reporting duties

Providing support to other departments and company directors as required

Maintaining accurate records and ensuring all commercial information is up to date and easily accessible

Person

To succeed in this Commercial Administrator job, you'll be highly organised, detail-oriented and able to manage multiple priorities in a fast-paced environment.

Essential:

Previous experience working in an administrative, commercial administration or office support role

Strong organisational skills and excellent attention to detail

Ability to manage multiple tasks and see work through to completion

Strong communication skills with the ability to build relationships across teams

Proficient in Microsoft Office, particularly Excel and Word

Ability to work independently and collaboratively within a team environment

Professional and proactive approach to work

Desirable:

Previous experience working within the construction, engineering or property sectors

Exposure to commercial administration, contracts administration or document control

Knowledge of subcontractor management processes

Experience using compliance, supplier management or commercial systems

Understanding of construction terminology and project delivery processes
