Role
As a Commercial Assistant, you will act as a key point of contact for clients and internal stakeholders, ensuring the accurate and timely administration of commercial information throughout the project lifecycle.
Supporting the Finance Director, Sales Team and wider business, you'll be involved in both pre-contract and post-contract activities, helping to manage contract documentation, variations, valuations and client communications.
This role offers the opportunity to gain broad exposure to commercial and contractual processes while working within a specialist construction business that delivers innovative off-site solutions to major construction projects across the UK
Responsibilities
Your responsibilities as a Commercial Assistant will include:
- Supporting the estimating and sales teams with commercial and contract-related matters
- Liaising with clients regarding contract queries, RFIs and pre-qualification documentation
- Attending pre-contract meetings and communicating key commercial information internally
- Reviewing contract sum analyses and assisting with pricing adjustments and variations
- Preparing and coordinating post-contract variations and obtaining client approvals
- Updating commercial systems and valuation trackers with contract and variation information
- Communicating contract terms, delivery requirements and handover information to project teams
- Monitoring project delivery dates against contractual obligations and highlighting potential issues
- Coordinating customer vesting visits alongside production and operational teams
- Acting as a point of contact for commercial enquiries and customer disputes
- Managing contract documentation and ensuring accurate storage and record keeping
- Working closely with production, site and finance teams to prepare payment applications
- Maintaining valuation calendars and variation trackers across multiple projects
- Building strong relationships with key client contacts
- Supporting vesting certificate administration and associated project documentation
- Assisting with final account processes, retention releases and commercial reporting
- Producing project programmes aligned to design, manufacturing, delivery and contractual milestones
Person
To succeed in this Commercial Assistant role, you'll be highly organised, commercially aware and capable of managing multiple priorities in a fast-paced environment.
Essential
- Previous experience within a commercial administration, contracts administration or office support role
- Strong organisational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to build professional relationships with clients and colleagues
- Experience managing documentation and maintaining accurate records
- Strong Microsoft Office skills, particularly Excel and Word
- Ability to work independently while also supporting a wider team
- Proactive and professional approach to work
Desirable
- Previous experience within the construction, manufacturing or engineering sectors
- Exposure to contract administration and commercial processes
- Experience supporting payment applications, valuations or variations
- Understanding of construction contracts and project delivery processes
- Knowledge of document management systems and commercial reporting tools
- Experience liaising directly with customers and external stakeholders
